Catering Regulations
Catering may be provided by:
- The School's central catering services (CCS)
- The Students' Union central catering services (SU)
- Richmond Caterers and Sands (or other external caterers as revised from time to time), who have been formally appointed by the School to provide services where/when CCS are unable to do so.
- Making your own arrangements subject to the specific guidelines below.
Central Catering Services (CCS) and the Students Union (SU) are registered and licensed, as legally required, for the provision of the relevant services, and have exclusivity within their specifically designated facilities/rooms (see below). The Conference Office can advise on room suitability at the time of booking depending on what sort of food and drinks you want to provide and whom you would like to provide them.
The Society Chairperson is required to accept responsibility for the event and to abide by the School’s guidelines. The guidelines have been drawn up to protect both individuals and the School under the legislative requirements of Health & Safety, Food Safety and Liquor Licensing and to ensure good management of the School’s facilities. When alcohol is provided, a responsible sober person who will take due care of the higher safety requirements at such events must supervise the event.
Making your own arrangements
Packaged non-perishable snack-type food (e.g. bagged crisps, nuts, biscuits) or packaged sandwiches in sealed disposable containers, soft drinks or alcohol may be purchased from any external commercial source of repute e.g. Sainsburys; Pret a Manger; Oddbins, etc. Sandwiches are classed as high risk under Food Safety legislation and by law must be kept refrigerated at 8 degrees centigrade or below except during service.
The preparation or cooking of food is not permitted anywhere on the School’s premises other than by the School’s Central Catering Services or the Students Union Catering Services within their respective designated areas.
The provision of domestically prepared hot and cold food is strictly prohibited in School rooms.
In exceptional circumstances the Union’s General Manager may give permission for society members to provide food (SU rooms only) but you will need to satisfy him that food hygiene regulations will be adhered to. The type of food that you can provide will normally be limited to foodstuffs that can be safely stored and served at room temperature. Food requiring refrigeration will only be permitted if proper arrangements can be made for transportation, storage and service. The Union Café may be able to help, check with Patience Ohabuiro, the Café Manager (p.ohabuiro@lse.ac.uk) well in advance of your event. If the Café can provide storage you will need to ensure that food is kept below 8 degrees centigrade during transport and that once it is served it is consumed within four hours. If you require any cooking or re-heating facilities you will need to pay for a member of Union Café staff to supervise this. Any cooking facilities provided are likely to be very limited and your requirements should be discussed with Patience well in advance.
External Caterers
The only external caterers permitted to provide catering on the School’s premises are those that have been officially appointed by the School (currently Richmond Caterers and Sands).
In SU rooms you may use an external caterer if granted permission to do so by the Union’s General Manager. Permission will only be given if the Café cannot provide the required food and it is to be provided by a registered caterer who will take on responsibility for compliance with the food hygiene regulations.
If you are using an external caterer they must provide a signed statement outlining the types of foods to be served and the arrangements they propose to make to ensure compliance with the Food Safety Act 1990 and the regulations deriving from that act (the Food Safety General Food Hygiene Regulations 1995 and the Food Safety Temperature Control Regulations 1995). They must also state the name of the local authority with which they are registered. The statement should be given to Alice at least 5 working days before the event.
Provision of Alcohol
Outside of licensed areas alcohol may be provided at society events only if no direct or indirect sale takes place. Indirect sale includes any society events where a charge has been made or a donation received at or prior to the event in order to cover costs including the provision of alcohol. In these situations, alcohol must be provided by CCS, SU or the officially appointed external caterers.
Only Central Catering Services, the Students Union and Richmond Caterers are permitted to serve alcohol within their respective licensed areas. CCS and SU may provide alcohol in other rooms on an off-sale basis.
Where societies choose to make their own arrangements, they are fully responsible for all pre- and post-event organisation. The School and the Students’ Union expect all rooms to be cleared of all catering rubbish and debris immediately after the event, and any furniture re-arranged so that the facility is ready for its next booking – it must be remembered that the latter may be a class or lecture.
Failure to comply with the above regulations may lead to de-recognition.
Food or alcohol from outside sources cannot be stored in CCS facilities. Glasses, plates or other ancillaries will be available from CCS only when they provide catering.
Ordering Catering from the School or Union
To use the School’s Catering Service first obtain a copy of the menu and price list from Central Catering in Room A476. When you have decided what you would like to order the Society Treasurer has to see Alice to complete and sign a Students’ Union order form. The society must give the order to Central Catering in Room A476 at least five working days in advance of the event. The School will then invoice the society via the Union.
To order catering from the Union Cafe contact Patience Ohaburio (the Café Manager) on Ext. 7580 or at p.ohaburio@lse.ac.uk at least five working days in advance of the event. Once the order has been placed the Society Treasurer should see Aliceto complete and sign an internal transfer form to pay for the catering.
Catering facilities and licensed areas exclusive to Central Catering Services are:
Staff Dining Room, Senior Common Room, A588, Graham Wallis Room, Chairman’s Dining Room, Director’s Dining Rooms, Founders Room, Brunch Bowl, Beavers Retreat, Robinson Room, A379, Vera Anstey Room, Atrium, Library Plaza, Café Pepe, D1 (Hong Kong Theatre), D106, D109, D111, D202, D206, D209, D211, D302 and D311.
In Clement House rooms catering including alcohol may also be provided by Richmond Caterers, who have been formally appointed by the School to provide services where/when CCS are unable to do so.
