Society Regulations

 

 

 

 

Rules Relating to Student Activities

 

The responsibility for satisfying conditions governing the performance of copyright plays and/or music rests with the society organising the performance.  Evidence should be shown to the Societies Manager that the conditions have been fulfilled before the performance takes place.

 

The Director reserves the right to forbid the posting of any notice, the sale of any literature or the holding of any meeting or collection which he or she regards as prejudicial to the welfare of the School.

 

The Memorandum of Understanding between the School and the Students’ Union states that all societies MUST, on all advertising, correspondence and publicity materials, state that they are a registered society of the Students' Union; otherwise they may be de-recognised.  For example, it is not LSE Biscuit Society but LSESU Biscuit Society.  In addition the School does not permit the use of its logo on any society publicity or society website.  The Union logo and Union headed notepaper is available from the Societies Manager.

Outside of society meetings, the distribution or sale of publications or collections by societies may only take place in the Quad.

 

The lobbies, foyers, entrances and corridors etc. of the East Building, the Old Building, particularly outside the Old Theatre, and the Clare Market Building MUST be kept clear of obstructions at all times.  Society information, promotional or recruitment stands, displays or desks etc. are not allowed in these areas.  It is essential that you comply with these regulations as the Fire Brigade has the authority to inspect these buildings without notice and individuals, as well as the School, could face prosecution and heavy fines.

 

If a society or individual sell tickets on Houghton Street they are trading illegally as the street is a public highway, the School does not own it.   The police have the right to confiscate your goods and money and you are also liable to a fine of £100.  The Union in no way condones the selling of tickets on Houghton Street.  

 

Stalls placed on Houghton Street are technically an obstruction to the public highway and liable to be moved on by the Police.   However, the School has issued the following guidelines:

a) You must not at any time affix posters or banners to the buildings, without prior permission from Bernie Taffs (b.taffs@lse.ac.uk).

b) You must not play music; (The Union will not refund you for expenditure on batteries for playing music whilst selling tickets.)

c) You must not block any fire exits,

d) You must not borrow furniture from the SU Bar or Café or from School classrooms.

Societies who flout the above rules will be liable to pay a fine set by the Finance and Services Committee. Persistent non-compliance may result in the society being de-recognised.  This will mean that the society’s budget is frozen and access to Union facilities and room booking facilities are withdrawn. 

 

 

Data Protection

 

Society officers must not give out members’ contact details including email addresses without members’ signed consent, even to other members. 

 

Emailing List

 

The legal position is that people must express consent to be on a mailing list and must be able to unsubscribe.

 

Members must have given explicit consent to be included on the society’s emailing list by circling “Yes” in the box next to their signature on the membership list.

 

All mass society emails should carry an instruction on how to remove oneself from the mailing list. 

 

Societies must be able to show (within reason) that students on the mailing list have asked to be on that mailing list; therefore, societies should maintain a record of consent, whether in electronic or hardcopy form.   Keeping a hard copy of your memberships lists is sufficient as long as this information is amended when people who have previously agreed to be on the mailing list unsubscribe.

 

It is the chairperson's responsibility to ensure compliance with legal and administrative policies and if either of the two conditions is not met IT services will suspend society email accounts whenever there is a complaint.

 

Societies should not use their mailing list to forward emails received from other societies as many people are members of numerous societies and therefore end up receiving the same message many times which is one of the reasons complaints arise.  Societies should use the global email to publicise events electronically to a wider audience than their membership.

 

Only the Chair, Treasurer and Secretary of the society should have access to the emailing list and it is their responsibility to ensure that the list is not misused. Using the “Bcc” option as opposed to “To” or “Cc” when sending mass emails will maintain confidentiality of the list.

 

Disability Information

 

To comply with recent disability discrimination legislation you must ensure that your society does not treat disabled students less favourably than other students by:

 

  • Offering publicity and information in alternative formats - a student may require printed material to be available for example, in larger type or on a computer so that it can be read with screen reader technology. Using courier based fonts makes it easier for some dyslexics to read.  Using good contrast between paper colour and print and larger font sizes will help partially sighted readers.  All your printed information should clearly state, ‘This can be produced in alternative formats on request.’ Should you receive such a request the IT helpdesk in the library will be able to help you. The SU website is accessible through an audio browser so getting information put on there about your society and its activities is a good idea.

 

  • Inviting students to discuss any special arrangements they require.  This should be done in the first society e-mail you send out to your members.  These could range from the need to hold all meetings in rooms accessible to wheelchair users, to the use of microphones or induction loops for students with a hearing impairment. Complaints Procedure

 

If any society member has a complaint regarding the misappropriation of society funds, the matter should be put in writing to the Union Treasurer who will refer the complaint to the Finance and Services Committee. Complaints regarding internal society disputes should be put in writing to Carys Morgan, the Societies Officer, via his pigeonhole at SU Reception.  Complaints regarding a society’s election procedure or results must be put in writing to the Union Treasurer within three working days.  The complaint will be referred to the Executive Committee.
