The complete set of rules and regulations that Student Groups must follow with regards to Safeguarding can be found within the 'Safeguarding and Emergency Procedures' section of the compulsory 'Student Leader Training' Moodle Module (see here), but key points are also listed here:
- Student Groups must abide by LSESU’s Safeguarding procedures at all times - see webpage linked below.
- Under 18s must follow our Health and Safety procedures if they want to join a Student Group - see section below.
- Details on reporting and emergency procedures relating to Student Group activity can be found below. For on-campus incidents, LSE Security can be contacted on 020 7955 6200. Further details relating to general safety on campus can be found here.
SAFEGUARDING PROCEDURES
INCIDENTS AND NEAR MISSES
In the event of incidents and/or near misses that take place during your Student Group activities, committee members must ensure that they're reported to LSESU, by completing the form below as soon as you can (within 24 hours if possible).
- An incident report is a formal recording of the facts related to an accident, injury, or near miss. Its primary purpose is to uncover the circumstances and conditions that led to the event happening, in order to prevent future incidents.
- A near miss is a potential incident that has not resulted in personal injury or damage. Examples include unsafe environments, use of broken equipment, and slips and trips hazards.

REPORT + SUPPORT
Report + Support is LSE’s online reporting tool for sexual violence, harassment, bullying, discrimination and hate crime. You can choose to report anonymously, or include your contact details if you'd like to receive follow-up support.
- The submission form (linked below) is a simple first step to (1) report an incident, (2) speak to a trained adviser, (3) get support and guidance, and (4) be directed to relevant LSE and LSESU services.
- You can also use the platform to find additional information on support options, policies, procedures, and ongoing campaigns.

RISK ASSESSMENTS
Risk Assessments are a legal requirement for all Student Group activities and events, so will need to be included each time as part of the Event Form submission process. The purpose of a Risk Assessment is to ensure that your activity/event can go ahead safely, and that appropriate measures have been considered/implemented with regards to mitigating expected and/or potential risks. ANNUAL RISK ASSESSMENTS (SPORTS CLUBS)
Every Sports Club is required to complete an Annual Risk Assessment for the 2026/27 academic year. This is a core safety document used throughout the year to manage your Club's activity safely and responsibly.
- Your Club’s Annual Risk Assessment should act as the foundation for all of your activity. However, when you run something different like trials, special events, or sessions in new locations, it’s important to make small additions or amendments to reflect the specific risks involved. These don’t need to be fullly new documents, just quick updates to show that you’ve considered the additional context - see templates below for each type of Sports Club:
- Each template includes example hazards and consequences to help guide you, but it’s your Club’s responsibility to:

Complete the remaining sections (including control measures and risk ratings).

Add risks specific to your sport and activities.

Include details for your socials, equipment audits, and emergency action plans.
GUIDANCE FOR UNDER 18S
LSESU has a duty of care to all students, but extra considerations need to be made in relation to those who are under the age of 18, and therefore defined as children under the Children’s Act 1989. Student Group responsibilities relating to the safeguarding of Under 18s can be found within the 'Safeguarding and Emergency Procedures' section of the compulsory 'Student Leader Training' Moodle Module (see here), but key points are also listed below.
UNDER 18S x STUDENT GROUP ACTIVITIES
- Under 18s won't be able to purchase memberships to Clubs and Societies via the LSESU website until some additional measures have been completed.
- The first step here for Under 18s wanting to join a Student Group is to ask their parent/guardian to complete and submit a permission form - see here.
- Once that's been done, please email su.sport@lse.ac.uk (Sports Clubs) or su.societies@lse.ac.uk (Societies) to let us know, and we'll then be able to add you to the relevant memberships list required for purchasing Club/Society memberships.
- Please note, however, that there are some restrictions on which activities Under 18s can take part in - see below.
RESTRICTIONS FOR UNDER 18S
- Unfortunately, Under 18s are unable to engage in the following Student Group activities.
- Attend overnight Trips.
- Take responsibility for running a Student Group Event.
- Run for (or hold) Committee Positions.
- Attend events centred around drinking Alcohol.
- Any other event deemed inaccessible for Under 18s.
- Under 18s are also unable to join or take part in the following Clubs and Societies:
- All BUCS/LUSL Competitions
- Rugby
- Surfing
- Equestrian and Polo
- Boxing
- Rock Climbing
- Wakeboarding
- Snowsports
- Outdoors and Hiking
- Motorsports
- Any other alcohol-based Student Group
STUDENT GROUP RESPONSIBILITIES
- With the support of LSESU, Student Groups running events involving Under 18s must update safety procedures and Risk Assessments for their activities accordingly.
- Ensure that all Students’ Union, and National Governing Body procedures are followed.
- Ensure that all students attending your activity have purchased the required membership.
- Organise a variety of inclusive activities (i.e. events not involving / centred around the consumption of alcohol).
- Comply with the LSESU's policies relating to general Health and Safety, Under 18s, and Safeguarding.
